Bucklin Public Library

Bucklin Public Library has some exciting news to share! They got new furniture in their Children’s room complete with power ports and USD ports for personal devices. The furniture is courtesy of the ARPA grant administered by Kansas State Library.

The Bucklin Public Library also is proud to host the “LIFE IN THE TRENCHES” exhibit courtesy of the Smoky Hill Museum. This is an interactive exhibit with excellent information for all ages. The exhibit will be here until February 11 and is available during our regularly scheduled hours. It’s a fantastic exhibit, one you don’t want to miss. Feel free to share this information with friends and family. This is one of those “Don’t miss” exhibits.

2021 to a Close and Opening 2022

The month of January is that time for the System office to close out the previous year and make the transition into the new year. I will be out of the office for the State Library Survey Workdays and if there is time I will stop by libraries on the way back through.

I will work in my library visits as I did in 2021. There will be times that I will call and see if you are available, however the majority of the time I tend to stop in libraries on my way back through from scheduled visits to other libraries. I would love to visit with you when I stop in, but I realize there will be times your aren’t at the library or you might be busy. If you are busy and you can’t visit I understand and I will stop by another time.

Scott County Library Loaning Beauty Costume (Beauty & the Beast)

As part of the program I attended last year for Scott County Library and the County’s Parade I wore the Beast costume. The library also purchased a Beauty costume for one of their staff to wear. The library is generously offering this costume for use at other libraries if they plan to use the Beast costume for a program. The dress is pictured above and it is a small petit. Scott County Library will need to know with enough time in advance so they can send it to your library through the courier.

Thank you to Scott County Library for offering the Beauty costume to share with the rest of our membership.

Changes in Notary Public Law 2022

On January 1, 2022 the Notary Public Law has changed. Some of our libraries provide this service. If your library is one of the libraries that provides notary services please read through the brief entry here and then follow up with the actual documentation for more detailed information.

SB 106 is the new standard and the Kansas Secretary of State has issued a brief overview for the changes. If you wish to read Senate Bill 106 here is the link. To read the brief overview that the Kansas Secretary of State issued you can do so at this link.

One of the bigger changes is that now notaries have to keep a Notary Journal with the following entries:

  1. Date and time of the notarial act;
  2. description of the record, if any, and type of notarial act;
  3. full name and address of each individual for whom the notarial act is performed;
  4. if the individual is identified based on personal knowledge, a statement to that effect; If the individual is identified based on an identification credential, such as a driver’s license, or identified by a credible witness, a brief description of the method of identification and, if an identification credential is used, the date of issuance and expiration date of the credential; and
  5. the fee, if any, charged by the notary.

One can may maintain a journal in both a tangible form and an electronic form. If you maintain a physical journal you can only have the one journal. If you maintain a digital journal it is allowable to maintain more than one journal.

This journal has to be maintained for 10 years after the last entry for retention purposes. The notary may transfer their journal to an approved repository for retention.

There are other changes that you can read on the informational file the Kansas Secretary of State has provided and it has links to other resources and forms that you will need in your function as a notary.

2022 Summer Library Program Free Matter

The System office has received the Summer Library Program Free Matter (posters, bookmarks, and the like). There was some damaged items that we had to reorder. Many of you will receive your library’s order from System Staff that are coming to your library or it will come via the Courier in the coming weeks.

Library Violence Prevention & De-escalation Webinar

Niche Academy will be hosting a free webinar on Wednesday, January 19, at 2:00 pm ET on Library Violence and De-escalation. The webinar will discuss “how staff/patron interactions typically affect the level of risk more than the physical environment itself” and understanding the level of risk can “determined by our approach and response to patron behaviors.”

Hugh Pelmore, founder of ARETE Safety and Protection Inc will be presenting the webinar and you can register through this link.

Introducing: Strategic Planning for Public Libraries

The Public Library Association is hosting a free webinar Thursday, January 20, at 1:00 pm CT on Introducing: Strategic Planning for Public Libraries in conjunction with the release of Joy L. Fuller’s title Strategic Planning for Public Libraries. The session will provide the “strategic planning framework and approach outlined” in the title, navigating the title “for various cases and effectively use accompanying templates”, and the process of “”planning the plan” and understanding why this often-overlooked step is so important”.

The Library of Congress is in the process of changing many of its outdated and offensive language. This is L-O-N-G overdue! Auto-Graphics is preparing software which will automatically replace the outdated language with terms which are more appropriate for diversity, equity, and inclusion (DEI). A few examples are:

State Library Survey Dates

January is upon us and that means it’s time for the State Library Survey. This year the Survey is due on February 6, 2022. There will be several opportunities for you to take part in State Library Survey events:

We will start out with the System’s Stare Library Survey Overview on Thursday, January 13 at 2:00 pm. We have a full step by step walkthrough already for the State Library Survey on the Wiki page. This session will be an Overview just hitting the highlights of the survey and concentrating on new questions that have been added to the Survey. Also during this time staff will be available to questions that you might have.

Next we will be doing the State Library Survey Workdays again at a variety of locations –

2022 New IRS Mileage Rate & W-2s

This is the time to update your mileage forms if you haven’t already done so. The IRS has distributed the new mileage rate for 2022. It is increasing to 58.5 cents per mile. IRS Webpage for Reference.

Whether you do your libraries W-2s or you have a CPA do them keep in mind that W-2s have to be provided to employees by January 31.

2021 Accreditation Wrap-UP

With the new year the System Office is wrapping up the 2021 accreditation year. There are two items that need to be forwarded to Richard at the System Office:

The final year end line item budget for 2021; and

If you and/or staff did any Continuing Education through other venues than the System we need the staff name, title(s), date(s), and number of hour(s) of the workshop(s). For any Conferences that you went to we need the conference(s), date(s), and number of hours for the conference.

Summer Library Program Family Idea Swap

Thursday, February 10, 2022 starting at 10:00 am through 11:30 am several Systems are hosting a Zoom Summer Library Program Family Idea Swap.

You are invited to attend and share your best ideas for adult and all-ages programs during this “swap”. An idea submittal folder has been set up here (https://bit.ly/3yRCJGK) to post your ideas by February 3, 2022, so you don’t have to recall the ideas that day. By submitting ideas does not mean you will have to speak during the session, though you are welcome to do so. We want everyone to fill comfortable during the session.

Haskell Township Library’s Outdoor Space

We received some new additions to the Library right before Christmas and invite you to stop by and check them out. We added 3 new benches and a trash can to the front of the Library and 3 tables and a trash can under the new Pavilion. We are very proud to say these were all made locally by Parker Kelling at Kelling Welding and Fabrication here in Sublette and was all grant funded. This project is made possible by the State Library of Kansas and the Institute of Museum and Library Services.

End of the Year To-Do-List

The end of the year is fast approaching. Here are a few things that you might need to do with your Library Board if you haven’t already done so:

1) GAAP Waiver Resolution;

2) If you do the yearly taxes for the library order W-2’s to prepare or if you have an accountant contact them to schedule in a date to do your end of year taxes and/or general audit;

3) If you have access funds that the board might want to move into the 2022 budget they will need to do this before the end of the year. If you are unsure of how this works please contact Richard and he can discuss the procedure with you;

4) Set up your calendars in Verso for 2022;

5) Set you budget line items in Quickbooks if you haven’t already done so;

6) If you or your staff need to take unused time that needs to be taken before the end of the year or you or they will lose it schedule it on your calendars; and

7) If you are going to give any type of raise that will begin in January your Library Board will need to make a motion to begin the new pay scale to begin January 1, 2022.

State Library Survey for 2021

Alice Smith, State Library of Kansas, informed the System directors that their will be two new questions on the 2021 State Library Survey.

One of the questions will be – how many libraries did “Grab and Go” bags and how many of the bags where distributed for said library. The other question will be over “Curbside Pickup” on how many you served with this venue.

E-Rate

Toby Sykes (e-rate Solutions) is getting started on the 2022-2023 e-rate applications. The SWKLS tech team will begin reviewing Internet connectivity and network hardware needs after the first of the year. Once we have a handle on what everyone needs, Steve will reach out to each library to discuss the next steps.

Google Will Auto-Enroll 150 Million Accounts into 2SV

National Data Privacy Day is January 28, 2022

As the line between our offline and online lives continues to blur, Data Privacy Day on January 28 is the little nudge we need at the beginning of each new year to make safeguarding our personal information a priority.  Although we live in an increasingly digital world, most of us give little thought to data privacy until after our personal data has been compromised. Our increased reliance on digital technologies to manage every facet of life necessitates the need to rethink what we share about ourselves, when and where we share it, and who we are sharing it with. Data Privacy Day is part of the global online safety, security, and privacy campaign called ‘STOP. THINK. CONNECT.’, — an initiative of the National Cyber Security Alliance (NCSA). Stevens County Library Holiday Fun

The Stevens County Library is enjoying the holiday season! We participated in the Hugoton’s lighted Santa Parade. Our float was decorated as Rudolph, complete with an inflatable Santa. Several staff family members joined us and it was SO MUCH FUN!

The Stevens County Gas & Historical Museum received a gem in the mail and passed it on to us! This September 1956 edition of The Kansas Library Bulletin features an article about enhancements to the original adobe Stevens County Library building. We will be brutally honest with you…the shelves, chairs, table, and slanted table featured in the article are STILL in use in the library to this day.

Santa Clause Comes to Hamilton County Library

Hamilton County Library hosted its annual Santa Clause event on December 2, from 2:00-6:30 pm. They had an excellent turnout with over 157 families and 296 children taking photos with Santa and sharing their Christmas wishes. Each kid also received a long-standing tradition “Santa Candy Bag” with fruit and old-fashioned candy, also prepared by library staff. The photo is of Director Amy Brucker’s daughter, Harper, now 3. She had no desire to be close to Santa when the time came.

Virtual Presenters Showcase

On Wednesday December 15, Laura Keyes of Historic Voices will be hosting a Virtual Presenters Showcase at 10:00 am CT. The showcase will be presenters that libraries might consider for general or adult programming. They are expecting at least seven speakers that will be attending covering a range of topics to possibly include: bicycles; pop music; Jane Austen; Harry Potter; and the Underground Railroad. December’s “Talks with Ted”

Train U.P.! : Basic DEI (12/7/21)

Dr. Fleming-Randle from Wichita State University introduced basic Diversity, Equity, and Inclusion training. She was fantastic, cheerful, and extremely knowledgeable. What a discussion we had! In fact, SWKLS might be able to plan a full-day DEI workshop with Dr. Fleming-Randle in the spring. More details to follow in the coming months. VMV21 has begun enthusiastically at Fowler, Meadowlark, and Kismet. We will pause our work in the beginning of 2022 to allow for completion of the State Report. VMV will resume in mid-February. If your library has not yet signed up for this VERSO modernization project, let me know. Here’s how VMV can improve SWiftnet for staff and patrons:

In 2007, SWKLS purchased VERSO as our Integrated Library System (ILS). The name SWiftnet was created to refer to the SWKLS union catalog.  When SWiftnet was created, each library created customized item statuses/exceptions, material types, location collections, and scoping levels. Fourteen years later, these customizations are still present, but many are no longer active.  SWiftnet is clogged with antiquated data and is under-performing. It is time to re-evaluate local customizations. Our searches are slow, some of our reports are inaccurate, and many of our settings need to be modernized. Very Merry VERSO will provide the support our members need to complete this task, and the SWKLS Staff will be there every step of the way.

On Tuesday December 14th at 10am CST,  Auto-Graphics will conduct an online demonstration and QA for Montage, a cloud-based solution for the management and display of digital collections. 

With more of our members pursuing the creation and curation of digital collections, we are investigating options for a system-wide platform to meet those needs moving forward.

News from Haskell Township Library

Our Storywalk is finally complete! It was built by our mayor, Lawrence Hoerman, and funded by grants and donations from Western Kansas Community Foundation, Southern Pioneer and LiNK.

Kids enjoyed carving pumpkins under our new Pavilion we were able to build with the ARPA grant. We are excited about the added programming space it gives to the library. 2022 Summer (Reading) Library Program Workshop

We have a date for the 2022 Summer (Reading) Library Program Workshop. It will be on March 4, 2022. The System office is still working on a location for the workshop. Once that is secured the office will provide a registration link here through Eventbrite.

Our presenters will be Patty Collins and Diane Bott, the Youth Consultants from Central Kansas Library System. Currently we plan for an in-person training, but with everything plans could change and it move to a virtual session. We haven’t had Patty and Diane out to Southwest Kansas for a couple of years. I thought with all the newer directors and the fun atmosphere that Patty and Diane bring to their workshops that this would be a nice time for everyone to come together and share ideas and network.

Author Visit and Codebreaking Workshop Webinar

Here’s an event that you can register you library for and offer it to your patrons as a program. As the banner states Steve Sheinkin will be doing an author visit and codebreaking workshop for any that would like to attend. It is on December 14 at 12:00 pm CT and 11:00 am MT. If your schools are already out during this week for the holiday break this could be something for you to offer them.

This looks to be a free session and the email states that by registering you will receive and email after the workshop of the recording that you could view on demand. So if December 14 does work for your patrons you could schedule a time for your patrons to just watch the recording. You can register your library through this link.

The Brooklyn Public Library, New York Public Library, and BookOps joined together to replace and maintain less offensive terminology with the Systems’ catalogs. This webinar will share resources for libraries looking to make and maintain local revisions to subject headings, learn technical procedures & guidance, tips for getting buy-in at your library from leadership, and how to engage patrons and others around these changes, no matter the size of your library.

Bill Clifford is new Kansas House Representative

Bill Clifford has been appointed as the new Kansas House Representative for District 122. He is filling the seat for the remainder of Representative Russ Jennings term because of Rep. Jennings passing. This effects libraries in Kearny, Hamilton, and Greeley Counties, the majority of Finney County and part of Grant and Haskell Counties.

Holiday Tables in Scott City Library

Library Director becomes a Pilgrim for a Day

Pilgrim Mary Bartlett (aka, Kinsley Library Director Joan Weaver) visited with the elementary school classes of USD 347 Kinsley-Offerle Schools on Wednesday.  The school gym served as a great visual for the size of the Mayflower, 25’ X 100’, or one-fourth of the basketball court.  Mary told of her wedding day in 1625 and then shared a little of what a pilgrim lady’s life was like including the spinning of flax and wool and the growing of herbs.  The children helped her make up a bed with a feather tick, linen sheet, handwoven wool blanket and coverlet.

Thanksgiving Thanks

To all of our member libraries I wish to give thanks to you. We at the System office recognize that each and every one of you strive to make you communities a better place. It’s not only about the books on your shelves any more. So much has changed over the years that librarians have looked to the future to be ahead of the curve for their patrons.

Who would have thought that movies would ever be in a library for check-out? What about having a person read you a book? The thought was you are to read the book yourself and how many years has it been that audio books have brought joy to readers? Some wouldn’t have any other avenue to read if not for audio books.

Graphic novels and manga started becoming more in-line to what a library has to offer. Then video games became a viable check-out. Music and other “Things” are a part of many libraries. With technology entering into the world, libraries have made in-roads to provide internet services and other technology based services to your patrons.

Many of you have also become counselors of a sort. People share their stories with you – good and bad / happy and sad. You listen in grace and try to give the person a pleasant experience in your library, which could be the only pleasant experience they get for the day. Some tears may fall, but happiness and willingness is your stock and trade.

The best part about this is that it doesn’t matter where you fall within your community all are welcome into the library.

Thank you for all you do and enjoy the upcoming Thanksgiving Holiday with your families.

The Audubon of Kansas is working on getting grants to get Birding Backpacks in as many libraries in Kansas as possible.  They are using this survey to help figure out the logistics of this project and fill out the grant paperwork as completely as possible.

The Summit will explore how libraries can support cradle-to-career solutions by growing their impact on improving third-grade reading, combating food insecurities and enhancing mental health.

Penguin Random House Grants for Small & Rural Libraries

For those that might have missed this in the latest ARSL Newsletter I wanted to place it in the SWKLS Newsletter as well. This is a challenge grant so your application might not be chosen. However, you aren’t in the running unless you try. The wording says it can be used for anything to include programming. This might be able to help you with an upcoming program event at your library.

Through the generosity of Penguin Random House, we are please to announce the establishment of a new grant opportunity for small and rural libraries nationwide!

Not all applications will be selected for funding. If selected, grants will be awarded for up to $2,500.

This is a rolling grant application, with batches of applications going under review every 8 weeks beginning December 17, 2021.  Applications will be accepted until all available grant funds are distributed. Please visit our website for a list of grant application deadlines.

This program will award grants to libraries that demonstrate a true need. Grants are not limited to literacy and may be used for everything from library programming and books to resources like hotspots that help community members access important information. In-kind donations will also be considered.

Amanda Harrison posted a link on the KASL ListServ about the company Alexandria posting free downloadable posters on their website. I went to the site and downloaded a file to try it out.

The posters are downloaded in a Zip File so you will need to extract the files to be able to print the poster. “Goddard school district returns 29 books removed from circulation”

WICHITA, Kan. (KSNW) — The Goddard school district has returned the 29 books they had recently pulled from circulation after one parent challenged the order.

On Thursday, Nov. 4, the district removed nearly 30 books from their libraries. This comes after a parent complained about the language and graphics used in a book their child came home with back in September [The Hate U Give]. They then created a list and requested the books to be put under review. The books were pulled from shelves as a result and “made to hold” until further notice. . . Read more here: / Link

Montage Digital Collections Solution

Ashland’s Art Club

The Ashland Library children’s art class meets each Wednesday after school.  This time works well because many children stay in town to go to Bible club later in the evening.  We provide a snack before class begins.  The class is taught by Bucklin retired art teacher, Mary George Harden and is underwritten by the Clark County Sheriff’s office.  Attendance varies, depending on school activities.  But Mary does an incredible job and the children are learning about the major artists and producing different types of art.  We hold the class in the newly renovated meeting room and use a lovely HUGE tarp that covers the entire floor.

Kearny County Library is having an Open House after a long-drawn-out remodel. They are happy to announce their library is finished and open for everyone to see.

Halloween Parade

The Beast made an appearance in Montezuma for the Halloween Parade. The director of Montezuma Township Library, Shannon McGregor played the role of Belle and her husband as Beast. What a great couple!!

A Chance to Win Registration for PLA Conference!!

Would you like to win a free registration fee to PLA?  If you are interested in attending the PLA Conference (Public Library Association) in Portland, Oregon on March 23-25, 2022.  Let Tandy know by November 1 and we will hold a drawing.  This is just for the conference registration fee which is the value of $330. The winner of the drawing will be responsible for any other travel arrangements such as flights, and hotels. The previous winner was unable to attend so we are holding another drawing!!  Let us know if you are interested!!! 

ALA: American Rescue Plan: Humanities Grant for Libraries

Just a reminder that this grant was announced and that if you think you might be interested there is a webinar on October 27, 2021 that will go into: 1) An intensive look at the application; 2) Learn about the guidelines, requirements, and eligibility for the grant; 3) Learn how to submit your application via the ALA Apply Grants Management platform; and 4) Have the opportunity to ask questions of ALA Public Programs office staff.

Application timeline is open now and ends December 2, 2021. Selected libraries that are awarded the grant will receive: 1) $10,000 to support humanities functions of the libraries; 2) One print copy of “Going Virtual: Programs and Insights from a Time of Crisis” by Sarah Ostman for the ALA Public Programs Office (ALA Editions, 2021); and 3) Online resources and support.

Dolly Parton Imagination Library Update

This update on the Dolly Parton Imagination Library comes from Tammie Benham, Youth Consultant for Southeast Kansas Library System that has been working with the Kansas Children’s Cabinet and Trust Fund to bring the program to all of Kansas.

Kansas Children’s Cabinet and Trust Fund is expanding access to the Dolly Patron Imagination Library program in Kansas.  This first year is a planning year where they will work with existing affiliate programs throughout the state to coordinate efforts.  However, during the first year, some programs are being added in counties where there has never been an affiliate program. 
According to the Program Coordinator, Pam Hunsaker, those looking to become affiliate programs in counties where an affiliate has never been established will have their program subsidized at $12.50/per child per year, or half the $25 year/per child cost of the program, by the Children’s Cabinet and Trust Fund.

In the second year, all programs in Kansas will receive the same $12.50 year/per child subsidy.
Consider how your community might support this program.  Do you have a business or club that might be interested in supporting early literacy development?  Could your library budget $120 to sponsor 10 children on a first come first serve basis?

Elizabeth (Liz) McChesney is the 2021 recipient of the Association for Library Service to Children’s (ALSC) Distinguished Service Award. This prestigious award honors an individual who has made significant contributions to library service to children and to ALSC.  McChesney is the Outreach and Partnership Consultant for Laundry Literacy Coalition and the previous Director of Children’s Services and Family Engagement at Chicago Public Libraries. She serves as Senior Advisor to the Urban Libraries Council and as the Library Advisor to the National Summer Learning Association.

Train U.P. Coding for Kids

Wanting some different programming ideas for kids? Tuesday, November 2, 2021 Jody with be giving an introduction to the program called Scratch. It is a fun interactive way for kids to understand the basics of coding as well as the basic tools for graphic design. Week of October 25 (Week 4): Cybersecurity First

Week 4 is all about making security a priority. For businesses, this means building security into products and processes. Make cybersecurity training a part of employee onboarding and equip staff with the tools they need to keep the organization safe. For individuals, keep cybersecurity at the forefront of your mind as you connect daily. Before purchasing a device or online product, do your research. When you set up a new device or app, consider your security and privacy settings and update default passwords. Cybersecurity should not be an afterthought.

Montage Digital Collections Solution

On Tuesday November 9th at 11am CST,  Auto-Graphics will conduct a demonstration and QA for Montage, a cloud-based solution for the management and display of digital collections. With more of our members pursuing the creation and curation of digital collections, we are investigating options for a system-wide platform to meet those needs moving forward.

Very Merry VERSO is proceeding successfully with Haskell Township and Ransom. Meadowlark has just begun, and Fowler will begin next month. “VMV” is a new catalog clean-up project to ensure catalog accuracy. SWiftnet is clogged with antiquated data from 2007 and is under-performing.  We hope to update local customizations.  VMV is a cure for a healthier SWiftnet! For more details, contact Kelly.

Quickbooks Users

Quickbooks users might receive an email from Intuit. Quickbooks will be moving to a yearly subscription starting in 2022. However, if you have the 2021 Quickbooks Pro version for the Desktop you will have support until 2024. This will allow you to hold off on purchasing the yearly subscription for a few years.
SWKLS can purchase 2021 Quickbooks Pro version Desktop on your behalf

Cybersecurity Awareness Month 2021

Week of October 11 (Week 2): Fight the Phish

Phishing attacks and scams have thrived since the COVID pandemic began in 2020 and today, phishing attacks account for more than 80 percent of reported security incidents.  Week 2 of Cybersecurity Awareness Month will stress the importance of being wary of emails, text messages or chat boxes that come from a stranger or someone you were not expecting. Think before you click on any suspicious emails, links or attachments and make sure to report any suspicious emails if you can!

Windows 11

Windows 11, the newest version of the Microsoft desktop operating system, has arrived. SWKLS tech staff will be evaluating the new release and provide more information at a later date. We strongly advise against upgrading to this version at your library as we have not tested compatibility with line-of-business software or peripherals at this time. What’s Your Favority Scary Movie?

The Stevens County Library couldn’t let a display case sit empty…especially during Halloween Month! Director Stacey Strickland shared her seasonal, hand-painted ceramics collection with library visitors.
The Stevens County Library dares to ask “What’s your favorite scary movie?” This passive display not only engages patrons, it provides collection development ideas!

Pumpkin Patch

Greeley County Library is starting its 7th annual Pumpkin Patch. The Library has a lot south of the library where they are able to decorate for the season. The Greeley County Elementary School classes from preschool through 5th grade each plan a visit for crafts, stories, playtime, a book, and pumpkin pie for each student. Many families visit the Pumpkin Patch through October for pictures as well. This has become a community tradition!
