IRS issues standard mileage rates for 2021

Beginning January 1, 2021, the standard mileage rates for the use of a car (also vans, pickups or panel trucks) will be, .56 cents per mile driven for business use, down 1.5 cents from the rate for 2020. Link to full IRS Statement

Kansas State Library 2019 Survey Report

The Kansas State Library has posted the 2019 Survey Report, link to 2019 Library Survey Report webpage, just in time for libraries to begin gathering information for the 2020 Library Survey Report after the new year.

In the month of January, we will have four sessions all at 2:00 pm. We will present tips and tricks on how to get yourself organized for 2021. If you attend all four sessions your name will be placed in a drawing. If you unable to attend the session and can carry out the task your name can still be placed in the drawing. Simply take a screenshot of the process and email it to jhattrup@swkls.org. Instructions will be added to SWKLS wiki soon after each session.

Trouble adding new barcodes? Three cataloging quick tips:

When many VERSO users are cataloging simultaneously, searching for new barcodes can sometimes yield zero results. Three of our members reported this issue within the last week, which is an “indexing” problem on Auto-Graphics’s end. Here are three quick tips to solve this problem:

  1. During times of high traffic, VERSO has time to fully add new information during slower periods. If you are having trouble searching for newly added barcodes, waiting overnight can often solve the problem. If, in the day after your cataloging activity, you are still unable to search for new barcodes, proceed with step two.
  2. From the Staff Dashboard – CAT Admin – Edit Item – Enter the barcode to view the item record. Click Submit to force “re-indexing”. If steps one and two do not work, proceed to step three.
  3. Compose a list of problematic barcodes and their titles to send to Kelly. She will forward the list to AG for further resolution.

VERSO Housekeeping

  • In VERSO’s advanced search, the resource labeled “One Click” provides a link to RBDigital, which now needs to be deleted. During the first week in January, Kelly will remove this option from the resources list for all SWKLS libraries.
  • At the end of an item record in VERSO, there appears a long list of features, such as “more about this title”, “shelf browse”, “Good Reads reviews”, etc. These features are populated by an EBSCO web-based program called NoveList. Some libraries have expressed their desire to turn NoveList off. AG has assured us that this is possible. If your library no longer wishes to see these features at the bottom of a record, let Kelly know.
  • If you have not already done so, please update your 2021 calendars in VERSO and SHAREit.
  • Some of our members have reported errors when they scan a barcode in VERSO. Sometimes, when one barcode is scanned, more than one item is displayed in the results. This is an imperfection that AG is aware of, and they have assured us it will be resolved shortly.

Cloud Library: New eAudio titles are coming soon!

SWKLS will purchase many new eAudio titles in English and Spanish via Cloud Library. A list of titles will be posted on December 23rd’s Weekly Update. Stay tuned!

Congratulations to Library Journal’s STAR Libraries in the Southwest Kansas Library System area!!  


This is the 13th year of the Library Journal index of Public Library Service and Star Library ratings.  The LJ index rates U.S. public libraries based on selected per capita output measures.  The 2020 scores and rating are based on FY18 data from the Institute of Museum and Library Services (IMLS) Public Library Survey (PLS).  This year, 5,608 U.S. public libraries qualified to be rated in the index. Kansas had a total of 10 Star libraries.  4 of the 10 came from the SWKLS region.  
These Libraries in the SWKLS region are:

4 Star     Lane County Library, Dighton, Kansas     Morton County LIbrary, Elkhart, Kansas

3 Star     Montezuma Township Library, Montezuma, KS

Summer (Reading) Library Program:

Tandy has contacted Sam Ricke, By Grace Creative, to work up an alternate image for the Summer Library Program T-Shirts. Sam is still working up the design. We will let everyone know about the alternate design as soon as we hear back from Sam.

Website being Redesigned/Updated:

With the last meetings minutes being approved Jody and the Tech Department will continue to update the System’s website with updated information.

End of Year Activities to Prepare for:

Before the end of the year library boards will need to make their annual GAAP (Generally Accepted Accounting Principles) resolution for the new year. The GAAP waiver is what allows libraries to operate on a “cash basis” accounting system. Contact the System Office if you have any questions.

Get ready to prepare your W2’s and if you have an accountant do this for your library, get it scheduled with them before the accountant’s calendar fills up.

If you library board chooses to move funds from the 2020 budget to the 2021 budget it will need to be done at the December board meeting. If you are unsure of how this works or need wording for the motion contact the office and Richard explain how this works and work up a sample motion for your board.

Set your calendars up within Verso for 2021.

Set your budget line items for 2021 in QuickBooks if you haven’t already done so.

If your library has it’s staff use all of their vacation and sick leave within the current year you need to make sure your staff takes their time off before they loose those hours.

  • When looking at an item record in Verso, there used to appear a button on the left which said “request this item,” which was quite confusing, being as an ILL cannot be requested in Verso. Two weeks ago, AG changed the wording to “place hold.” Therefore, a hold can be placed by using either of these buttons:

 If you haven’t already, you should be receiving an e-mail from KPERS to verify your service quarters for the 2021 year. You must verify and submit service quarter info, even if you don’t make any changes. Submit to KPERS by November 20, 2020.

State Library of Kansas Digital Content (cloudLibrary):

Learn how to find audiobooks on cloudLibrary with this tutorial.

Download your RBdigital user data, including your current checkouts, holds, history, and wishlist, by following the instructions found in this tutorial. This process will download a file that you can use to manually recreate your holds and wishlist on your cloudLibrary account. Data cannot be imported into cloudLibrary from this file.

Since our current holds list will be completely purged with the transfer (from RB Digital), we have currently reduced the limit on holds to 1. Additionally, we’ve reduced the number of active checkouts from 10 down to 5 and will continue to gradually reduce this number as the transfer date approaches.

We’ve recently learned that any audiobooks that you have checked out on RBdigital at the time of the transfer will still be accessible through the RBdigital app and website until the loan period expires. However, you won’t be able to renew those loans or place holds on those titles on RBdigital after December 2.

Having received lots of feedback regarding the reduced loan periods, we’ve returned the length of checkouts on cloudLibrary to 3-week loan periods.

Summer (Reading) Library Program:

I have sent out a “form” for any libraries that are interested in doing the Reader Zone app again this year.  If you could get that back to me by December 2, 2020, then I can forward the information to Alice Smith at the State Library.

Kansas Reads to Pre-Schoolers

The month of November is Kansas Reads to Preschoolers month.  This program is set for the whole month so libraries can contact their local preschools to set up dates and times to read to the classes and/or hand out the selected book for this year which is Groovy Joe: Ice Cream and Dinosaurs written by Eric Litwin and art by Tom Lichtenheld.

Legislative Day

Some discussion was done on how to structure Legislative Day.  It looks to become another online event and if it is how will KLA entice lawmakers to join in for an online session.

The Governmental Affairs Committee has started working on a position statement for the upcoming 2021 legislative session. One major point of focus will be broadband access and availability. 

Will you please consider sharing stories about broadband use? For example, just yesterday, a middle school in western Kansas had to quarantine the basketball team. Luckily the library had several circulating hotspots and was able to lend them to the students. Now those students will be able to continue school off site without skipping a beat. To me another awesome part of the story is the librarian was at the school teaching database use. 

That’s a great story that will carry a big impact with our legislators. I know you have great stories and request you share them. You can send your stories to me and I will collect them for the Governmental Affairs Committee. Just email me at gsanty@ckls.org

Talking Books

If you have a patron that is need of the Talking Books Service here are the links to the Webpage

Kansas Talking Books, and the the Application Form, Kansas Talking Books Application Form.  You can download the application and have the patron or family member complete the form and then turn it in to you at the library.  If you can verify the patron’s condition you can be the approving signatory.  If you can’t verify the patron’s condition then they will need to visit their local doctor for authorization.

Kansas Reads to Pre-Schoolers

The month of November is Kansas Reads to Preschoolers month.  This program is set for the whole month so libraries can contact their local preschools to set up dates and times to read to the classes and/or hand out the selected book for this year which is Groovy Joe: Ice Cream and Dinosaurs written by Eric Litwin and art by Tom Lichtenheld.

Groovy Joe StoryWalkⓇ will soon be available for ILL.

CloudLibrary

Andy Schafer, of the state library is looking to do additional workshops for the transition from RB Digital to cloudLibrary for those that missed this workshop on the 3rd.  No dates set as of yet.

Legislative Day

Some discussion was done on how to structure Legislative Day.  It looks to become another online event and if it is how will KLA entice lawmakers to join in for an online session.

The Governmental Affairs Committee has started working on a position statement for the upcoming 2021 legislative session. One major point of focus will be broadband access and availability. 

Will you please consider sharing stories about broadband use? For example, just yesterday, a middle school in western Kansas had to quarantine the basketball team. Luckily the library had several circulating hotspots and was able to lend them to the students. Now those students will be able to continue school off site without skipping a beat. To me another awesome part of the story is the librarian was at the school teaching database use. 

That’s a great story that will carry a big impact with our legislators. I know you have great stories and request you share them. You can send your stories to me and I will collect them for the Governmental Affairs Committee. Just email me at gsanty@ckls.org

Audiobook update & KSLC Refresher Webinar

Audiobook Update and KSLC Refresher Webinar – Tuesday, November 3, 2020, 10:00 AM to 11:00 AM

 Join the state library for an exclusive update on our marketing efforts, the upcoming transfer of our audiobook collection from RBdigital to cloudLibrary, and everything you need to know to help patrons access our collections and prepare for the change.

Audiobooks will be transferred statewide to cloudLibrary by 12/2/20: 

Due to a change in ownership of the RBdigital Media Company and the new owners’ announced intent to discontinue the RBDigital apps and website in the near future, the State Library of Kansas has entered an agreement with bibliotheca to migrate all licensed audiobooks that could be moved to their cloudLibrary platform on December 2, 2020.

 This means that we need to get the word out to all RBdigital patrons and get them ready for the change. Since access to the RBdigital registration page originally required a Kansas Library eCard, our hope is that many of our RBdigital users already have an eCard that they can use right now to log into cloudLibrary. However, one of the main targets of our messaging will be RBdigital patrons who, for whatever reason, don’t have a current Kansas Library eCard. In order for them to continue accessing our collection once it’s moved to cloudLibrary, they’ll need an eCard.

But don’t fret! We’re going to do everything we can to prepare you and your patrons. We’ve put together a NicheAcademy tutorial to that answers some of the most frequently asked questions about the transfer, instructions on how to download personal data from RBdigital, and guidance on how to access audiobooks through cloudLibrary. Additionally, we’ll be presenting a webinar next week giving you everything you need to know to guide your library and patrons through the transfer.

Lane County Library Update

LACO is borrowing ILLs through Kelly; the library is not lending at this time.  If LACO has an overdue ILL, a renewal would be much appreciated.  The library is open and accepting courier deliveries as normal.  Available staff members are Mona and Gayle.
